A holiday season of online orders leaves a trail: confirmation emails, shipping notices, packing slips, gift receipts, a paper receipt from a store pickup, a warranty card folded into the box. Most of it can go. A few pieces decide whether you can return, exchange, claim a price adjustment or get a repair later.

The FTC's guide to online shopping puts it simply: keep records of your purchases, like receipts and emails, so you can hold a seller to its promises. Below is what that means order by order, and how long each piece is worth keeping.

Two smaller items are worth a second look. The shipping notice matters only until the parcel arrives. A store's price match or price adjustment policy can make the receipt useful for a couple of weeks: Target, for example, matches its own lower price within 14 days after purchase and asks for the original receipt, physical or digital, or the packing slip.

How long should you keep receipts from online orders?

As long as something can still go wrong with the order, and no longer. In practice that means three clocks:

  1. The return window. Usually 14 to 90 days, depending on the store and the item. Most receipts become useless the day it closes.
  2. The warranty. Often a year from the purchase date, sometimes more. The receipt is what proves when that year started.
  3. Taxes. Only if the purchase is a business expense or a deduction. The IRS generally asks you to keep records for 3 years from the date you filed the return, longer in some cases.

For everyday shopping, the first clock covers most orders. A sweater bought in November does not need a receipt in March. A laptop does.

Why do paper receipts fade?

Most cash register receipts are printed on thermal paper, which reacts to heat and light. The National Archives warns that images on thermal paper are extremely unstable and may begin to deteriorate in as few as six months. A receipt kept in a wallet or a warm car can go blank long before a one-year warranty runs out.

The fix is to copy it on the day you get it. A clear photo with the store name, date, total and item lines visible is enough for most purposes. Keep the paper too if the store asks for an original, but treat the photo as the copy you rely on.

Do you need to keep the order confirmation email?

Yes, for anything you might return or repair. The confirmation shows what you paid, when and to whom, and it usually includes the order number customer service asks for first. For a gift, the order confirmation is also your backup if the gift receipt goes missing.

Should you keep the box and packing slip?

Keep the packing slip until the return window closes. Keep the box for expensive or fragile items until you are sure they stay, because some stores want items back in their original packaging.

What should you keep for warranty claims?

The FTC's warranty advice is the standard: save a copy of the warranty, and save your receipt with it, because the receipt proves the date you bought the product and that you are the original owner. Add the serial number. For anything with a plug, a motor or a screen, those three things together are what a repair desk asks for.

A simple system for the holidays

You do not need a filing system. You need one place where each order that matters lands once, with its dates:

  • Small orders (under the amount you would bother returning): delete the emails once the parcel arrives.
  • Gifts and clothes: keep the confirmation and the packing slip until the return window closes.
  • Electronics, appliances and anything expensive: keep the confirmation, a photo of the receipt, the serial number and the warranty until the warranty ends.

Whatever you use, write down the return-by date. It is the one date nobody tells you about again.
