How to Track Warranty Expiration Dates: What to Save the Day the Box Arrives

To track warranty expiration dates, save eight details the day a product arrives: what it is, model and serial number, purchase date, seller, warranty length, end date and how to claim. Keep them with the receipt in one place, and set a reminder about a month before the warranty ends.

A warranty is only worth something if you remember it exists before it ends. The usual pattern: the dishwasher starts leaking, you search the inbox for the order, find it, count the months, and discover the warranty ran out three weeks ago.

The fix is not a better filing cabinet. It is saving the right details once, on the day the product arrives, and getting one reminder before the date. Here is what to save and five ways to keep it, compared honestly.

What should you save to track a warranty?

Eight details cover almost every claim:

DetailWhere to find it
What the product isThe order confirmation
Model numberThe box, the label on the product, or the manual
Serial numberThe label on the product or the box; on phones and laptops, in the settings
Purchase dateThe receipt or order confirmation
SellerThe receipt; some warranties depend on buying from an authorized seller
Warranty lengthThe warranty document or the product page
End datePurchase date plus the warranty length
How to claimThe warranty document: phone, website, or registration first

The FTC's advice on warranties adds two habits: save a copy of the warranty itself (print or download it if you bought online), and keep the receipt with it, because the receipt proves the date you bought the product and that you are the original owner. The FTC also notes that some warranties require you to return a registration card first to qualify for service, so check that on day one.

When does a warranty start?

Usually on the purchase date, not on the day you first use the product. Apple's standard hardware warranty, for example, covers products for one year from the date of original retail purchase. Some manufacturers count from delivery or installation, which is why the warranty document is worth keeping: it says which date counts.

That has one practical consequence. If a gift sits in a closet for two months before it is opened, two months of the warranty are already gone.

How do you find a warranty end date you did not write down?

Start with the order confirmation to get the purchase date, then add the warranty length from the warranty document or the manufacturer's site. Many manufacturers also let you check coverage on their support site by serial number. If you cannot find the receipt, the order history in your store account usually shows the date.

Five ways to track warranty expiration dates

A calendar event is better than nothing and costs nothing. The weakness is that the reminder fires with no context: you see "dishwasher warranty" and then have to go find the receipt, the serial number and the claim number. Whatever you choose, keep the details and the date in the same place.

When should the reminder go off?

About a month before the warranty ends. That gives time to notice a fault you have been ignoring, book a repair, and send the item in while it is still covered. For expensive items, a second check halfway through the warranty is cheap insurance: test everything once, while a fix is still free.

If you also bought a separate protection plan, treat it as its own entry. It has its own start date, end date and claim process, and it may begin only after the manufacturer's warranty ends. Save its confirmation next to the receipt, with its own reminder.

Let someone hold the date for you

This is the kind of date we built dEssence for. Send Tracy the receipt or the order confirmation from Chrome or Telegram, add a photo of the serial number label, and ask her to remind you before the warranty ends. On the Pro plan she turns documents into dates, tasks and reminders; on any plan you can tell her the end date in your own words. She does not read your email, so she only keeps the warranties you send her.

Frequently asked questions

How do I know when my warranty expires?

Add the warranty length to the purchase date on your receipt. The warranty document says whether the clock starts at purchase, delivery or installation.

Do I need the receipt to claim a warranty?

Usually you need proof of purchase showing the date. The FTC recommends keeping the receipt with the warranty for exactly that reason.

Do I have to register a product to keep the warranty?

Some warranties require a registration card or online registration before service. The warranty document says whether yours does; do it on delivery day.

What is the best way to track warranties?

Any method that keeps the receipt, the serial number and the end date together and reminds you about a month before the end.
