Why is the notice date more important than the renewal date?

These are examples. Your dates come from your own contracts, and the contract decides how days are counted.
What should I track for each contract?
Five fields, pulled from the contract once:
- Start date. When the current term began.
- End or renewal date. When the term ends or renews.
- Auto-renewal. Yes or no. Look for words like "automatically renew", "successive terms" or "unless either party gives notice".
- Notice period. How many days before the renewal date notice must be given.
- How notice must be sent. Email, letter, a specific address or person. Notice sent the wrong way may not count.
From fields 2 and 4 you get the notice deadline. Write it next to the renewal date, and put your reminder two weeks before the notice deadline, so there is time to talk to the client or landlord first.

Keep a written contract in the first place
If you freelance in New York City, the Freelance Isn't Free Act gives you another reason to keep contracts organized. According to NYC Consumer and Worker Protection, contracts worth $800 or more, including agreements with one client that add up to $800 in any 120-day period, must be in writing, and both sides must keep a copy. If the contract has no payment date, the client must pay within 30 days after you complete the work. Elsewhere, a written contract with the renewal terms spelled out is still the only way to know your dates.
What to do when the notice reminder comes
Two weeks before the notice deadline, make one of three decisions:
- Renew as is. Do nothing, or confirm in writing if the client prefers. Note the next renewal and notice dates right away.
- Renew on new terms. This is the moment to raise your rate or change the scope. Send the proposal now, so the answer comes before the deadline.
- End it. Send notice the way the contract requires, keep a copy of what you sent and the date, and ask the other side to confirm they received it.
How to send a notice that counts
Follow the contract's notice clause to the letter: the method (email or letter), the address or person named, and the timing. Send it a few days early rather than on the last day, and keep proof of when it went out. If the clause names a postal address and you only email, the notice may not count.
