Hotel Free Cancellation Deadline: Where It Hides in Your Booking
The hotel free cancellation deadline is usually 24 to 48 hours before check-in, and it runs on the hotel's clock, not yours. Here is where to find the exact time and how to stop it slipping past.

A hotel free cancellation deadline is usually 24 to 48 hours before check-in, and it is counted in the hotel's local time zone, not yours. The exact date and time are in your confirmation, under the cancellation policy. Miss it by an hour and you can be charged a night or the full stay.
Booking sites put "Free cancellation" in a big green badge. The part that matters is in small print further down: "Free cancellation until 11:59 PM on November 12". Two details in that line catch people out. One is how early the date is. The other is whose 11:59 PM it is.
Where is the free cancellation deadline in my booking?
It is in the cancellation policy section of your confirmation email and of the booking in the app or website. The badge only tells you that a free window exists. The policy line tells you when it ends, and it is the line the hotel goes by.
Look for wording like:
- "Free cancellation before November 12 at 11:59 PM"
- "Cancel by 6:00 PM local time, 2 days before arrival"
- "Non-refundable" or "Pay now, non-refundable", which means there is no free window at all.
If the email only says "see policy", open the booking and screenshot that section. Confirmation emails get buried; a screenshot next to your trip dates does not.
How late is too late to cancel a hotel?
For most refundable rates the cut-off is 24 to 48 hours before check-in. Booking.com's own guide says refundable bookings typically allow free cancellation until 24 to 48 hours before arrival, and some properties allow it up to the day of arrival. Big holiday weekends, events and resorts often move the deadline further out, sometimes a week or more. The only number that counts is the one in your booking.
Which time zone is the cancellation deadline in?
Usually the hotel's. The same Booking.com guide says the deadline is usually calculated in the hotel's local time zone: book a New York hotel from London, and the deadline follows New York time. That works against you when you travel east, because the hotel's evening is your afternoon.
Here is how one deadline reads on three clocks, for a hotel stay in mid-November 2026:
| Hotel deadline says | In New York | In Los Angeles |
|---|---|---|
| 11:59 PM, Paris hotel | 5:59 PM the same day | 2:59 PM the same day |
| 6:00 PM, Honolulu hotel | 11:00 PM the same day | 8:00 PM the same day |
| 11:59 PM, Chicago hotel | 12:59 AM the next day | 9:59 PM the same day |
Daylight saving time changes these gaps twice a year, and not every place changes on the same date. If the trip is near late March or early November, check the hours again.
Do hotels have a 24-hour cancellation policy?
Many do, as their own rule: cancel at least 24 hours before check-in and pay nothing. There is also a state law in California. Since July 1, 2024, hotels, booking sites and short-term rentals in California must let you cancel without penalty for at least 24 hours after the reservation is confirmed, if you booked 72 hours or more before check-in. They then have 30 days to refund you. The law does not cover negotiated rates that were not open to the public, or bookings where the hotel is not named until after you pay.
That is a 24-hour window after booking, not before arrival. It is useful when you book a non-refundable rate and change your mind the same day.
Does free cancellation mean a refund?
It means you can cancel without a penalty. What you get back depends on how you paid.
- Pay at the hotel. Nothing has been charged yet, so there is nothing to refund. Some hotels place a hold on your card; it drops off after you cancel, on your bank's timing.
- Prepaid, refundable. The money goes back to your card. How long that takes depends on the hotel or booking site and your bank, so keep the cancellation email.
- Prepaid, non-refundable. Free cancellation does not apply. Outside the California window above, you depend on the hotel's goodwill.
Always ask for a cancellation number or email. If a charge shows up later, that number is your proof.
How to stop the deadline slipping past
The simple fix is one reminder per booking, set the day you book, for the day before the deadline in your own time zone. A day of slack covers the time zone math, a busy day and a slow app.
If you are holding two hotels while you decide, give each its own reminder, and write down which one you plan to keep.
Letting Tracy hold the date
dEssence can keep this date so it does not live in your head. Forward the confirmation email to Tracy or send her a screenshot of the cancellation policy, and say what you want in your own words: "remind me the day before free cancellation ends, I'm in New York". She reads the deadline, works out your time, and messages you first.
She does not cancel or change the booking for you, and she does not read your inbox. You send her the confirmation; she keeps the date.
Frequently asked questions
Can I cancel a hotel after the free cancellation deadline?
Yes, but you will usually pay the penalty in the policy, often the first night or the full stay. Call the hotel anyway. Some will move the dates instead.
Is it better to cancel through the booking site or the hotel?
Cancel where you booked. A booking site reservation cancelled directly with the hotel may stay open on the site and still be charged.
What if the booking does not show a time, only a date?
Ask the hotel or the booking site which time and time zone apply, and set your reminder for the day before.
