School Prearranged Absence Form: Before Holiday Travel

A school prearranged absence form requests review before holiday travel. Check the submission deadline, required signatures and school decision; sending a notice alone does not guarantee an excused absence.

School Prearranged Absence Form: Before Holiday Travel

Check the school’s current travel-request process before treating trip dates as settled. Record when the form is due and who must sign, then keep the request pending until you receive the school’s decision.

This is not legal advice. We describe how to organize school paperwork, not how to resolve legal questions. Consult a qualified professional about those questions.

Find the form for a future absence

Start on your child's official school website, under attendance or parent information. Look for “prearranged absence,” “planned absence” or “permission to travel.” Read the page around the download as well as the form itself. It may explain who receives it, how far ahead it is due and which absences it covers.

Check the district calendar against the trip dates before proceeding. List the actual school days your child would miss, including a partial day if relevant. A flight date and the first missed school day can be different. Identify examinations, performances or other required activities during the proposed absence so you can ask about them directly.

If you cannot find the correct process, contact the attendance office. Ask whether the school requires a request for approval, a notification or both. A same-day illness reporting form may not serve as an advance travel request. Use the current form supplied by the school rather than one found on another district's website.

Distinguish notification, submission and approval

Keep these stages separate in your record:

StageWhat it establishesWhat to check next
Parent notificationYou told the school about planned datesWhether a formal request is also required
Completed submissionYou sent the required form and signaturesWhether the school received a complete request
School decisionThe school reviewed the requestApproval conditions and attendance classification

A teacher acknowledging your message does not necessarily mean the attendance office or principal approved the absence. Ask who makes the decision and where you will receive it. If you have only an automated submission receipt, keep the status marked pending until the school explains the outcome.

This guide covers U.S. schools. Use your own school's attendance rules.

Check the lead time and who must sign

Beaumont Elementary School in Pennsylvania provides one local example. Its travel guidance calls for a signed parental statement one week before the absence, or two weeks for a long-term absence. Requests involving more than five school days follow an additional approval route involving the superintendent after the principal's recommendation.

Beaumont also describes conditions for educational travel, parental supervision and arrangements for schoolwork. Its timing and conditions belong to that school system. They are not a national allowance for taking a holiday during term time, and submitting paperwork does not by itself establish approval.

For your own school, copy the exact submission rule, required signatures and recipient into your plan. If the form needs teacher initials, allow time for your child to reach each teacher before the due date. Ask how to handle an absent teacher or a class that meets on alternating days. Do not leave that question until the morning the request is due.

Include the information the form actually requests. Check the student's name and grade, the first and last missed school days, the return date and the reason for the request. Keep the description accurate. If the policy asks about educational activities, describe the activities that are actually planned rather than changing the label on a vacation to fit the form.

Submit through the specified route and keep the response

Work through this list before considering the request finished:

  • Confirm the school days that would be missed.
  • Obtain the current form and submission deadline.
  • Complete the required parent, student and teacher sections.
  • Send the request to the named office through its stated route.
  • Keep the submitted copy and any receipt or reference number.
  • Obtain the school's decision and record any conditions.
  • Confirm how missed work and the return to school will be handled.

For a paper form, keep a legible copy before handing it over. For an online submission, save the confirmation and the version you submitted if the system provides one. Record which dates the request covers. If the trip changes, ask whether the approval needs amendment; a decision for one set of dates may not cover another.

If no response arrives, follow up with the named office using the submission date and reference. Ask whether the request is complete and whether a decision has been made. Do not treat silence as approval. If the school declines or imposes conditions you cannot meet, discuss the available options with it before treating the trip as settled.

Ask about missed work before leaving

Find out what your student can collect in advance, what must wait until return and when each item is due. Ask separately about activities that cannot be reproduced as a worksheet, such as a performance or laboratory session. The school's answer should guide your planning rather than an assumption that all missed time can be made up online.

Keep those instructions with the absence decision. Approval and academic completion are separate questions: Beaumont's guidance explicitly says approved travel does not assure a passing grade. For any school, get the relevant expectations from the teacher or office responsible for them. This is also the point to confirm the student's first day back.

Ask Tracy to bring back the unfinished step

Save the school's form instructions and your proposed dates in dEssence. Ask Tracy to identify the submission steps, then request reminders to submit the form and check for a decision. Review the dates she extracts against the school document, including whether the rule refers to school days or calendar days.

Tracy does not sign forms, notify the school or open its attendance system. You submit the request and send the response yourself. Once it arrives, ask her to update the remaining reminders around the actual decision and schoolwork instructions. If travel dates change, provide those changes rather than relying on the original request.

FAQ

Does a prearranged absence form guarantee an excused absence?

No. The school reviews the request under its own rules. Obtain the decision and any conditions; a completed form or submission receipt alone does not tell you how the absence will be classified.

How far in advance should I submit a school travel form?

Use your school's stated deadline. Beaumont's one-week and two-week requirements are local examples, not a rule for all schools. Ask the attendance office if the current instructions do not give a clear cutoff.

Is emailing the teacher enough?

Only if the school's procedure says that completes the requirement. Otherwise, the teacher may know about the trip while the formal request remains unfinished. Confirm which office handles approval and attendance records.

What if the travel dates change after approval?

Contact the school and ask whether you need an amended request. Give the revised missed days and return date, and keep the updated response with the original approval and assignment instructions.
