Employer Donation Matching Deadline: Submit After You Give
Your employer sets the donation matching deadline. After giving, check the company’s rules, submit the match request with your receipt and keep the confirmation until the charity verifies the gift and the request is resolved.

Find your employer donation matching deadline
Start with the workplace giving portal or the benefit instructions from HR. Look for the rules covering the year of your donation. If you cannot find them, ask where employees submit matching requests and which deadline applies to a gift already made.
Do not treat December 31 as a universal cutoff. The date may depend on the employer's program and the donation date. Write down the rule you actually find, including any instructions for gifts made near the end of the year.
St. Jude's matching-gift instructions direct donors to their company-specific requirements and the matching request. That is a useful model: giving to the charity and requesting the employer's contribution are separate actions.
Keep these dates distinct:
| Record | What belongs there |
|---|---|
| Donation date | Date on the charity receipt |
| Match request cutoff | Deadline in the employer's current instructions |
| Follow-up date | A date you choose using the portal's stated process or estimate |
The follow-up date is your own checkpoint. It does not change the employer's cutoff or promise that the charity will have received the matching payment by then.
Check eligibility before filling the request
Read the program's rules for your employment category, the charity, the gift and any annual allowance. Do not assume a colleague's successful request proves that your donation qualifies. Their organization, amount or employment status may be different.
Match the nonprofit's legal name and identifying details to the receipt. Similar charity names can make a portal search confusing. If you are unsure which listing is correct, ask the nonprofit's matching-gifts contact or your program administrator before choosing one.
If the gift was made through a fundraiser, payroll or another intermediary, check what evidence the employer requires. A bank transaction may show a payment without identifying the eligible organization or donation details. Request the appropriate receipt rather than guessing which document will be accepted.
Submit the request while the receipt is open
Enter the donation details from the receipt, attach the required evidence and check the final screen. Pay particular attention to the donation date and amount. Save the confirmation number and submission date once the request is sent.
If the portal leaves the request in a draft state, finish the remaining steps. A completed-looking form is not proof of submission. Reopen the record and check its status before closing the task.
For recurring donations, read whether the program expects individual requests or another reporting method. Do not submit a full year's intended giving as though those donations have already occurred. Use the dates and amounts supported by the receipts and the employer's instructions.
Estimate the extra contribution only after checking the rules
For illustration, an eligible $50 gift with a 1:1 employer match would add $50, making $100 in combined contributions. With a 2:1 match it would add $100, making $150 combined. These examples assume the request is accepted and no program limit reduces the match. They are arithmetic examples, not rates promised by an employer or a recommendation to give more.
Giving Tuesday does not set the employer cutoff
Giving Tuesday falls on December 1 in 2026, as CARE's Giving Tuesday page confirms. A charity may also advertise a campaign match funded by a sponsor. That offer has its own conditions and should not be confused with the benefit offered by your employer.
If a donation page says gifts will be matched, do not assume it has completed the workplace request for you. Check your employee program separately. If you want to know whether the same gift can qualify for both arrangements, ask the organizations involved rather than adding the advertised multipliers yourself.
For this task, keep the donation receipt and match request together. Tax treatment is a separate question; this article does not determine deductibility or recommend a donation amount.
Follow up on the unfinished stage
Read the status rather than sending the same question to everyone. If the request needs employee information, respond through the program's stated channel. If it awaits charity verification, ask the charity's matching-gifts team whether it has the request and the details needed to recognize your donation.
An approved request and a matching payment received by the charity can be different events. If the portal supplies a payment schedule or estimate, keep it with the request. When you follow up, quote the request number, donation date and current status so the recipient can identify the case.
If a request is rejected, read the stated reason before resubmitting. Correct an error through the program's process and keep the response. Do not create a second request for the same gift merely because the first one has not moved yet.
Ask Tracy to remind you about the next action
Send the receipt and employer instructions to Tracy in dEssence yourself, using the web app or Telegram. Ask her to identify the submission deadline, then compare it with the original instructions. Request a reminder to submit and a separate reminder to check the outcome.
Tracy does not access your HR portal, make a donation or send the matching request. Share any updated instructions yourself. Keep sensitive details that are unnecessary for the reminder out of the material you send.
FAQ
What is the deadline for employer donation matching?
It is the deadline in your employer's program rules. Check the rule for the donation year and ask HR if it is unclear.
Can I request a match after I donate?
Yes, when the gift qualifies and the request is within your employer's allowed period. Keep the receipt and follow its submission process.
Does a Giving Tuesday match replace my workplace request?
No. A campaign match and an employer benefit are separate arrangements. Check each set of rules.
Why is my matching request still pending?
The status may be waiting for information, verification or payment. Read the portal's explanation and contact the team responsible for that stage.
