What Is Life Admin? The List You Carry in Your Head

What is life admin? It is the office work of running your own life and household: renewing the passport, cancelling a trial before it charges, returning the jacket in time, signing the school form, chasing a refund. Nobody pays you for it, and most of it lives as a list in your head until a date slips.

Most people do not call it anything. It is just the stuff: the email from school, the car registration, the return label you printed and did not use. The word for it helps, because once you can see it as work, you can decide how much of it to carry.

What does the term life admin mean?

The clearest definition comes from Elizabeth Emens, a Columbia law professor who wrote the book Life Admin (2019). In her words, life admin is all of the office-type work it takes to run a life and a household, from broken technology to daily decisions about food to big life events. She also calls it mostly invisible labor: it happens in your phone and in your head, and it is rarely counted as work.

Columbia Law School describes her book as being about the managerial side of personal life, which she first wrote about in a 2015 law journal article called "Admin."

How is life admin different from chores?

Chores are the doing. Admin is the planning, tracking and paperwork around them. Emens puts it this way: cooking and laundry are not admin, but they have an admin component. Childcare is not admin either, but it comes with a lot of it, like arranging care and filling in back-to-school forms.

A simple test: if the task involves a date, a form, a login, a phone call or a "did they get back to me?", it is admin.

What are some examples of life admin tasks?

Here is a full list by area. Each area has its own dates, and those dates are what cost money when they slip.

Subscriptions and free trials. Trial end dates, renewals, price increases, the subscription you pay for twice. Guides: cancel a free trial before you get charged, find all your subscriptions, a subscription audit.

Returns, warranties and receipts. Return windows, price adjustments, warranty claims, the receipt you need in a year. Guide: organize warranty receipts.

Holidays and gifts. Shipping cutoffs, gift lists, prices you are waiting on.

Money dates. Tax deadlines, deductible expenses, insurance renewals, FSA balances. Guide: track deductible expenses through the year.

School and family. School calendars, permission slips, forms due Friday, documents for each family member. Guides: put the school calendar into Google Calendar, the family documents checklist.

Health. Annual appointments, prescription refills, insurance claim deadlines.

Travel. Passport expiry, free cancellation deadlines, check-in windows, flight prices. Guides: kids' passport expiration, track a flight or hotel price.

Study. Syllabus deadlines, registration windows, scholarship dates, textbook opt-outs. Guide: organize course files.

Work you run yourself. Expense reports, job applications to follow up on, replies you are waiting for. Guides: track receipts for reimbursement, track follow-ups.

Choosing helpers. Picking the apps and assistants that take some of this off your plate. Guide: AI memory apps compared.

What life admin do I need to do?

Less than you think, if you look at it by dates. Most life admin is quiet until a deadline, and then it is urgent. A monthly pass over the eight questions above catches most of it:

  1. Which free trials end this month?
  2. What renews in the next 60 days?
  3. Which return windows are open?
  4. Which forms or payments are due for school or work?
  5. Which appointments need booking?
  6. Whose reply am I waiting for?
  7. Which documents expire this year?
  8. Which prices am I waiting on?

Twenty minutes once a month is enough for most households. The hard part is not the pass. It is remembering the dates between passes.

Why does life admin feel so heavy?

Because it is carried in your head. Each item is small, but each one has to be remembered at the right moment, not just once. That is the part Emens calls invisible: the work is less the task itself and more keeping it in mind until it is due. In families it also tends to land on one person, which is why the mental load gets so much attention.

How do I manage life admin without another system to maintain?

There are three common ways to hold the list, and each has a cost:

WayWhat it does wellWhere it breaks
In your headFree, always with youDates slip when the week gets busy
Calendar plus to-do appReliable once enteredEvery item has to be typed, sorted and kept current
An assistant you send things toStarts from the email, photo or link itselfYou still decide and act; it keeps track

The third option is where dEssence fits. You send Tracy the thing as it arrives: a screenshot of the school email, a PDF, a receipt photo, a product link. She works out what it is and what date matters, and she messages you first when there is a reason: the deadline is close, the price dropped, the trial is about to charge.

What she does not do matters too. Tracy does not read your inbox, connect to your calendar or log in to school apps. You send what matters. She does not pay, cancel or fill in forms; you make the decisions. Free covers 20 saves and 20 messages a day; Pro is $10 a month for more, and on Pro documents turn into dates, tasks and reminders.

What is admin used for?

"Admin" is short for administration: the organizing work that keeps something running. At a company, it is scheduling, paperwork and records. Life admin is the same work, done for your own life, unpaid.

Frequently asked questions

Is life admin the same as the mental load?

They overlap. The mental load is the thinking and remembering behind household work; life admin is the office-type work itself. Most life admin carries a mental load until it is done.

How much time does life admin take?

It varies a lot by household. A useful habit is a monthly twenty-minute pass, plus sending things to one place as they arrive.

Can an app do my life admin for me?

It can keep the dates and remind you. Decisions, payments and forms stay with you.
