How to Add a School Calendar to Google Calendar: Link, File or PDF

To add a school calendar to Google Calendar, open Google Calendar on a computer, click the + next to Other calendars, choose From URL and paste the school's public .ics link. If you only have a file, use Settings → Import & export.

The school hands out the year calendar as a PDF or a page buried somewhere on the district site, and then a parent spends twenty minutes retyping half-days into a phone. There are three ways to add a school calendar to Google Calendar, and they are not equally good. The best one you do once.

First, work out which one you have

Look at what the school actually gave you. On the district calendar page, scan for the words Subscribe, Add to calendar, iCal, ICS or Feed, and check the very bottom of the page, because feed links tend to live down there rather than in the navigation. Sports calendars are often published separately from the academic year, so look for both.

  • A link ending in .ics, or a Subscribe button: route 1, the good one.
  • A file to download (.ics, or a spreadsheet you can save as .csv): route 2.
  • A PDF or a picture of a grid: route 3, by hand, and keep it short.

Route 1: subscribe, so the school keeps it updated

A subscribed calendar stays connected to the school's file, so when the office moves a conference day your copy moves too. It is the only route where that is true, which makes it worth ten minutes of hunting for the link.

Route 2: import the file you were given

If the school hands out a file instead of a feed, importing it takes about a minute. On the web, click the gear icon, open Settings, choose Import & export in the left column, then Select file from your computer, choose which calendar the events should go into (otherwise they land in your main calendar), and click Import. Google accepts .ics files and .csv files; a CSV needs English column headers, with Subject and Start Date as the only required ones, and the file must be 1 MB or smaller. Google documents the expected format on its help page for importing events into Google Calendar.

The catch is worth saying plainly: imported events are copies, and nothing behind them updates. If the school moves the last day of term in February, your copy stays put and you hear about it from another parent at pickup. When the school reissues the file, delete the old school calendar or its events before you import the new one, so the dates do not double up.

Route 3: by hand, but only ten dates

If the calendar is a PDF, do not transcribe it. Most of a school year calendar is information you will never act on. The dates that genuinely change what a family does in a given week are a short list:

  • first and last day of each term
  • every break, as one all-day event spanning the whole range
  • early release and half days, with the real pickup time on them
  • staff development days with no school
  • conference days and the sign-up window that opens before them
  • picture day, and anything needing a costume, a shirt colour or cash
  • registration and form deadlines

That is ten to fifteen entries for a whole year. Enter breaks as one all-day event across the full range rather than one event per day, or the month view turns into a wall of colour you stop reading.

How to add a school calendar to Google Calendar on iPhone

Add it once on a computer, and it then shows in the Google Calendar app on your iPhone. The Google Calendar app for iPhone, iPad and Android cannot subscribe to a link, import a file or create a new calendar. After you add the school calendar at calendar.google.com, open the app, tap Menu and tick the box next to it.

Apple's own Calendar app can subscribe without a computer: tap Calendars, then Add Calendar, then Add Subscription Calendar, paste the link and tap Find. That copy lives in iCloud, so it shows in Apple Calendar, not in Google Calendar.

When the school uses Outlook or Teams

Ask the school for the published ICS link of its Outlook calendar. Only the calendar's owner can publish it: in Outlook on the web that is Settings → Shared calendars → Publish a calendar, which produces an HTML link and an ICS link. Paste the ICS link into Google's From URL; Microsoft says the HTML link only shows the calendar in a browser. Microsoft notes that publishing may not be available, depending on the organization's settings, so the school office may need its IT team.

A normal Outlook sharing invitation does not help a parent on Gmail, because Microsoft says it can only be accepted with a Microsoft 365 or Outlook.com account. Teams meetings appear in the Outlook calendar they were scheduled from, so they come through only if the school publishes that calendar.

If the school calendar is already a Google calendar

If the school keeps its calendar in Google Calendar, it can share the public address in iCal format from that calendar's settings, under Integrate calendar, and you add it with From URL. The address only works if the calendar is public.

For a calendar a person shares with you rather than publishes, click the + next to Other calendars, choose Subscribe to calendar and enter their email address. They have to approve the request, and this route works only for calendars from Google.

Keep it out of your main calendar

Whichever route you took, school dates belong on their own calendar, not mixed into the one holding work meetings. On a computer, hover over Other calendars in the sidebar, click +, choose Create new calendar, and name it for the child rather than the school: Mia · School beats Lincoln Elementary once you have two kids in two buildings.

Then two settings do most of the work.

Colour. Hover the calendar name, open the three-dot menu, pick one colour and use it for nothing else. Half-days become recognisable at a glance in month view.

Notification timing. Open the settings of the calendar you created and set Event notifications and All-day event notifications there once, instead of per event. A reminder ten minutes before a half day is useless: you needed to pack something the night before. Day-before notifications, arriving at an hour when you can still do something, are the setting that changes outcomes.

When all you have is a PDF

Plenty of schools never publish a feed at all. You get a PDF in a Friday email, another one in October when three dates change, and the job of reconciling the two is yours.

This is the one place dEssence fits, and it is worth being exact. Do imported school events update when the school changes the calendar?
