Capacities Alternatives Without Object Setup
Compare Notion, Tana, Obsidian and a save-and-ask approach when you like Capacities but do not want to maintain object types.

Why Capacities can start to feel like work
Capacities organizes notes as objects. A book can have an author, a person can connect to meetings, and a project can carry fields and relationships. That structure is useful when you know what you collect and how you will use it.
It becomes friction while meaning is still unclear. Saving an article may require deciding whether it is a resource, idea, project reference or new object type, followed by fields and links. One decision is small; repeating it for every note is not.
The system may also drift. Carefully designed types give way to skipped fields during busy weeks, leaving a mixture of complete and barely classified objects. Retrieval then depends on remembering both what you saved and how you modeled it.
If this sounds familiar, you probably need less setup at capture—not a more detailed object model.
Notion: flexible databases
Notion suits people who still want structured collections but prefer pages and databases. You can create databases for books, projects, contacts or research, with their own properties and views. A page can begin plainly and move into a database later.
The tradeoff is maintenance. Properties remain fields and relations still need creation. Choose Notion when you want documents and databases together. Skip it when maintaining properties is the job you are trying to escape.
Tana: structure inside an outline
Tana uses supertags to turn outline items into reusable types such as tasks, meetings or people. You can write first and apply structure inside an outline instead of opening a formal database.
The structure does not disappear. You still decide which supertags exist, which fields they carry and how consistently to use them. Choose Tana if you like information modeling but prefer daily notes and outlines. It is a poor escape route if you want to stop modeling.
Obsidian: local Markdown with optional structure
Obsidian stores notes as Markdown files. You can begin with plain notes and links, then add properties, templates, queries or community plugins when needed. Structure is optional, and you retain access to the underlying files.
The cost is assembly. Database-like views, typed notes and automated workflows may require plugins and maintained conventions. Choose Obsidian when file ownership and gradual flexibility matter more than receiving a finished object model.
A plain notes app may be enough
If your main actions are writing, searching and occasionally linking, another knowledge system may be unnecessary.
- Capture each thought without assigning a type.
- Search before creating folders or tags.
- Add structure only after a repeated need appears.
Do not build a complete book schema before you need to filter books by author or status. Keep ordinary book notes until that distinction helps with a real task. Structure should earn its place.
Save-and-ask tools for external material
Articles, videos, products and messages may only need to be saved and found later. A save-and-ask tool focuses on that smaller job: capture the original item without converting it into a formal note, then describe what you remember instead of browsing an object graph.
dEssence is one option for saving products, articles and videos and retrieving them through boards and questions about saved items. It is not a replacement for structured project notes, custom fields or a knowledge graph. This category fits collections dominated by external material; it does not fit carefully maintained records that need consistent properties.
Match the tool to the work
- Capacities: object types help you think and you enjoy maintaining them.
- Notion: you want documents and databases together and will maintain properties.
- Tana: you prefer outlines while retaining reusable types and fields.
- Obsidian: you want local Markdown and gradual, optional structure.
- Plain notes: writing and search cover most needs.
- Save-and-ask: retrieving external material matters more than modeling knowledge.
