Create the contact while the context is fresh

Open Google Contacts and create a contact. Add the person’s name and any detail they willingly provided, such as a phone number or email address. Do not wait for a complete profile; a name and one useful note are enough.

At a conference, do it after leaving the conversation. After meeting another parent at school pickup, add the contact when you return to your car. The task should take less than a minute. Waiting until evening lets several conversations blur together, and the useful details usually disappear first.

Use a repeatable note format

Use this loose pattern:

Example:

This gives you several routes back: Jen, Omar, hospital scheduling, cello, or the bakery. You do not have to remember the name first.

Write the words you would naturally search. School pickup is more memorable than educational community contact.

Record relationship details without becoming intrusive

Small relationship details can be more useful than a job title:

  • Marcus, married to Diane
  • Theo’s father, hockey group
  • Met through the Saturday running club
  • Recommended the ramen place near Union Square

These fragments help when a familiar face appears in a different setting. Keep notes factual and respectful. This is a memory aid, not a private assessment. Avoid sensitive details that would feel intrusive if the person saw them.

Use labels for real circles

Google Contacts labels work best for stable groups you genuinely revisit:

  • School parents
  • Running club
  • Conference 2026
  • Neighborhood
  • Former coworkers

Do not label every profession, hobby, and conversation topic. That produces more maintenance than value.

Before an event, open the relevant label and scan the names together. Someone may belong to two meaningful circles, such as Neighborhood and School parents, without requiring a new combined label.

Keep follow-ups in the right place

If you promise to send something, put the action at the end of the contact note:

Follow up: Send the contractor’s name on Friday.
